Creating an invoice

The usual way is to create the invoice from the finished job sheet. You can also create one from Invoices for work that didn't have a job.

Lines can come from your stock list, so quantities and prices stay consistent, and you can add manual lines for one-off work. The VAT rate starts from your default in Business Settings and can be changed on each invoice.

• Branded PDF with your logo, details and brand colour.
• Stock parts come off your stock count when invoiced.
• Cost prices are recorded for your profit reporting only.

Sending it and getting paid

Use Send to customer to email the invoice. The customer gets a link to view it online and download the PDF. You can also Download PDF to print or send it yourself.

If you've connected Stripe, use Copy payment link and send it to the customer. When they pay by card, the invoice is marked paid automatically and the money goes to your own Stripe account.

For cash, bank transfer or card-machine payments, open the invoice, choose Edit and set the status to paid.

Ready for collection

On a paid plan, Collection SMS on the invoice sends the customer a prefilled text that their car is ready. You see the message before it goes.

With Xero connected, use Sync to Xero on the invoice. Changes and payments sync across, so your accountant isn't re-keying anything. See the Xero guide for details.
