Add your first customer, vehicle and job

Walk through adding a customer, linking their vehicle with a reg lookup, and opening a job sheet.

The quickest way to learn Mechanics Hub is to put one real job through it. Here is the path from a phone call to a booked job sheet.

Add the customer and vehicle

Open Customers and add the customer's name and contact number. When you add their vehicle, type the registration and use the lookup: it pulls the make, model, colour, year, fuel, tax status and MOT expiry from DVLA and MOT data, so you are not typing it by hand.

The MOT expiry it pulls in is what later powers the automatic MOT reminder, so it is worth doing the lookup.

  • Type the reg and tap the lookup to fill the vehicle details.
  • The MOT expiry sets up the reminder automatically.
  • Customer and vehicle stay linked for the full history.

Open a job sheet

Create a job for that vehicle and record the customer's complaint or request. The job sheet is where the work lives: diagnosis, technician notes, parts, labour and sign-off, all in one place and printable for the bay or the counter.

When the work is done, you create the invoice straight from the job, so the customer, vehicle, mileage and line items are already there.

FAQ

The reg lookup did not find the model.

DVLA returns the make but not always the model, so Mechanics Hub also checks MOT history for it. If it is still missing you can type the make and model in yourself, the rest of the details still fill in.
