Getting started with Mechanics Hub
Set your workshop up in a few minutes: business details, diary hours and technicians, then your first customer, job and invoice.

Mechanics Hub keeps the whole job in one place: the customer, their vehicle, the job sheet, health checks, parts, the invoice and the reminder that brings them back. This guide takes you from a new account to your first finished job.
It runs in a web browser on a laptop, tablet or phone, so there is nothing to install. The setup steps below are done by a workshop admin.
Step 1: add your business details
Open Business Settings from the sidebar. The Business tab holds everything that prints on your invoices: company name, company number, VAT registration number, address, phone, email, your logo and your brand colour.
Under Invoice defaults, set your VAT rate (for example 20% if you're VAT registered, or 0% if you're not), your payment terms in days, and your bank or payment details so customers know how to pay.
- Logo: upload a PNG, JPG or WebP file.
- Brand colour: used on your invoices and your garage website.
- Extra notes: any wording you want on every invoice.
Step 2: set your diary hours and bays
On the Diary Settings tab, set your open and close times, working days, slot length, default job length and how many bays you have. The diary uses these to show your real capacity.
Step 3: add your technicians
On the Technicians tab, add each person with their full name and, if you like, initials and a colour. Their initials and colour show against their jobs, so everyone can see who is on what.
Technicians are names you assign work to, not logins, so they don't need an account.
Step 4: put your first job through
The quickest way to learn the system is one real job from start to finish.
- Add the customer under Customers and type the registration to fill in the vehicle details.
- Book the job from Jobs, and print the job sheet if your team works from paper.
- Fill in the job sheet as the work happens: complaint, diagnosis, work carried out, parts and labour.
- Create the invoice from the job sheet and send it to the customer.
Optional: connect the rest when you're ready
None of these are needed for your first job, but they're all in Business Settings when you want them.
- Messages: your SMS sender name and email settings.
- Payments: connect your own Stripe account to take card payments.
- Xero: sync invoices to Xero and import your Xero customers.
- Website: your garage website with online booking, included with the Workshop plan.

Do I need to install anything?
No. Mechanics Hub runs in your web browser on any device, so you can use it on the laptop at the counter, a tablet in the bay or your phone.

Who can change the settings?
Business Settings is for workshop admins. Other users are taken back to the dashboard if they open it.
