Keep a stock list of parts and service items, import it from a spreadsheet, spot low stock, and let invoices reduce your stock counts automatically.

Stock control only helps if it connects to your invoicing. In Mechanics Hub, when a stock part goes on an invoice, the count comes down, so your numbers stay honest.
Your stock list
Open Inventory from the sidebar. Each item has a name, optional SKU, item type, unit, cost price, invoice price, quantity on hand and reorder level.
- Stock items are physical parts: oil, filters, bulbs, pads.
- Service items are things like labour and fixed-price services. They never change your stock counts.
- When quantity on hand falls to the reorder level, the item shows as low stock.
How invoices change stock
When a stock item goes on an invoice, the quantity comes off your stock count and the movement is recorded, so you can see where parts went. If you delete or cancel the invoice, the parts are put back.
Import your parts list from a spreadsheet
If your parts are in a spreadsheet or a motor factor's list, save it as a CSV and import it on the Inventory page. The file needs a header row and a column called name or description. Mechanics Hub also picks up common column names for SKU or part number, cost, price, quantity and reorder level.
- Save the spreadsheet as CSV (max 5MB).
- Make sure there's a name or description column.
- Check the preview, then import.
FAQ
Will labour mess up my stock counts?
No. Labour and other service items are kept separate from physical stock, so only real parts reduce your counts.
I typed a part on a job sheet that isn't in my stock list.
You can save it to your catalogue from the job sheet line so it's there next time. Saving it doesn't change that invoice or your stock counts.
