Xero for Garages: The UK Independent's Guide to Connecting Workshop and Accounts
How to keep your accountant happy without the office typing every invoice twice — and how to avoid the VAT mistakes that catch garages out.

Plenty of UK garages use Xero for their books. The problem is what happens before the invoice reaches it: job details on paper, invoices typed into a garage system, then typed again into Xero — or invoices raised in Xero with no link to the car or the job.
This guide explains how workshop software and Xero should split the work, what a proper connection does, and the VAT setting that most often causes wrong totals.
Garage system and Xero: who does what
The cleanest setup gives each system the job it's good at:
| Task | Best place |
|---|---|
| Bookings, diary, job sheets | Garage system |
| Vehicles, MOT dates, reminders | Garage system |
| Parts used and labour on the job | Garage system |
| Raising the customer invoice | Garage system, synced to Xero |
| Bank reconciliation, VAT returns, payroll | Xero |
| Reports for your accountant | Xero |
What a proper Xero connection should do
Whichever garage system you use, check it can do these:
- Send each invoice to Xero with the right customer, lines, VAT and total.
- Match invoices to existing Xero contacts instead of creating duplicates.
- Let you import your existing Xero contacts as customers when you start.
- Show you clearly when an invoice hasn't synced or doesn't match, and let you retry.
- Send updates to Xero when you correct an invoice in the garage system.
The VAT setting that catches garages out
If your garage is VAT-registered, invoices need to reach Xero with the standard 20% output VAT rate. If the connection sends them with no tax rate, Xero records the net amount as the total — so a £284.92 invoice can appear as £237.43.
Before sending real invoices, check the tax setting on the connection, raise one test invoice and compare the total in both systems.
- VAT-registered: use 20% output VAT (in Xero this is usually shown as 20% (VAT on Income)).
- Not VAT-registered: use no VAT.
- If a total doesn't match, correct the setting first, then re-sync the invoice from the garage system rather than editing it by hand in Xero.
Getting started without retyping customers
If you've been invoicing from Xero, your customer list is already there. Import those contacts into the garage system on day one so names, phones and emails arrive without typing, and each customer stays linked to their Xero contact.
Xero doesn't store vehicle registrations, so add vehicles as they come in using a registration lookup.
Mistakes to avoid
Watch out for these:
- Raising the same invoice in both systems — pick the garage system as the place invoices start.
- Editing synced invoices directly in Xero — the two systems then disagree.
- Ignoring sync warnings — check them weekly so problems don't pile up before the VAT return.
- Leaving your accountant out — tell them invoices will arrive from the garage system so they recognise them.
How Mechanics Hub works with Xero
Mechanics Hub connects to Xero through Xero's official connection. Invoices sync with your chosen tax setting, VAT-registered connections default to 20% output VAT, and any invoice whose total doesn't match Xero is flagged with an Update Xero button to fix it.
You can import your Xero contacts as customers in one click — duplicates are skipped and existing details are never overwritten. The Workshop plan is £49 a month with unlimited technicians.
Connect Xero and import your customers
Start a 14-day free trial, connect Xero, import your contacts and sync a test invoice. No card required.
Frequently asked questions
Can I import my Xero contacts into Mechanics Hub?
Yes. Active Xero contacts are imported as customers with names, phones, emails and addresses. Duplicates are skipped and existing details are never overwritten.
Do invoices sync to Xero automatically?
You choose when to send each invoice with Sync to Xero on the invoice. Once it's in Xero, later edits, payments and changes made in Xero stay in step, and any mismatch is flagged so you can update it.
Why is my invoice total lower in Xero?
Usually the invoice was sent with no tax rate, so Xero recorded the net amount. Set the connection to 20% output VAT if you're VAT-registered, then update the invoice from the garage system.
Do I still need Xero if I use garage software?
For most garages, yes. Garage software runs the workshop and raises invoices; Xero handles bank reconciliation, VAT returns and your accountant's reports.
Bottom line
Let the garage system run the workshop and raise invoices, let Xero handle the books, and check the VAT setting before the first real invoice. That removes double entry without upsetting your accountant.
